- Contract: to provide the Service you request (e.g., storing career data, generating resumes, providing downloads/links)
- Legitimate interests: to secure, improve, and operate our Service (balanced against your rights)
- Consent: where we ask for it (e.g., certain cookies, optional marketing communications in some jurisdictions)
- Legal obligation: to comply with applicable laws and lawful requests
6. How We Share Your Information
We do not sell your personal information in the traditional sense. We share personal information only as described below:
A) Service Providers (Processors)
We use vendors to help us operate the Service, such as:
- Hosting and infrastructure (servers, storage, databases)
- AI/LLM providers (to generate resumes/cover letters and parse job postings)
- Vector database/embedding services (if used for retrieval and personalization)
- Background job/workflow processing (to run generation tasks reliably)
- Payment processing (subscriptions and billing)
- Email and customer support tools
- Analytics and error monitoring
These providers are authorized to process personal information only as needed to provide services to us, and we require appropriate contractual protections consistent with applicable law.
B) Public Sharing You Initiate
If you create a shareable resume link, the information on that page may be accessible to anyone who has the link (and potentially anyone you forward it to). You are responsible for:
- Choosing what to include in the shared resume
- Who you share the link with
- Removing/turning off sharing when you no longer want it accessible
Important: We may take steps such as using "unlisted" links and/or "noindex" directives, but we cannot guarantee that third parties will not copy, screenshot, re-share, or index content in all cases.
C) Legal Requirements and Protection
We may disclose information if we believe in good faith that disclosure is necessary to:
- Comply with law, regulation, or legal process
- Respond to lawful requests by public authorities
- Protect the rights, safety, and security of ResumeNexus, our users, or others
- Investigate fraud, security, or technical issues
D) Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction, consistent with applicable law and notice requirements.
7. AI, Automated Processing, and Your Content
What Happens When You Generate a Resume or Cover Letter
When you trigger an AI generation action (such as generating a tailored resume or cover letter), we process the information needed to produce the requested output, which may include:
- Your profile details (e.g., name, title)
- Your career history and accomplishments you've entered
- The job posting text or link you provide (or content parsed from it)
- Your past generated outputs (to maintain consistency, if applicable)
AI Outputs Are Not Professional Advice
Generated content is produced by an automated system and may be incomplete, inaccurate, or inappropriate. You are responsible for reviewing and editing outputs before using them.
Training and Improvement
Your content (career details, job postings, generated resumes/cover letters) may be used to operate and improve ResumeNexus features (e.g., improving templates, bug fixes, retrieval quality), typically in aggregated or de-identified form where feasible.
We do not intend to use your private resume content to train generalized AI models for others without your permission.
If we use third-party AI providers, your content may be processed on their systems strictly to provide the generation feature. We aim to use providers and configurations that limit or prohibit vendor training on customer content where available.
8. Cookies and Similar Technologies
We use cookies and similar technologies for purposes such as:
- Strictly necessary cookies: authentication, security, session management
- Preferences cookies: remembering settings (e.g., UI preferences)
- Analytics cookies: understanding usage and improving the Service
- Marketing cookies (if enabled): measuring marketing campaign effectiveness
You can control cookies through your browser settings. Some cookies are required for the Service to function.
Global Privacy Control and "Do Not Track"
Some browsers offer "Do Not Track" signals, and some users enable Global Privacy Control (GPC). Where required by applicable law, we will treat GPC as a valid opt-out signal for certain data uses (such as "sale"/"sharing" under certain U.S. state laws), to the extent we engage in those practices.
9. Data Retention
We keep personal information for as long as necessary to provide the Service and for legitimate business purposes, such as complying with legal obligations, resolving disputes, and enforcing agreements.
Typical retention approach:
- Account data and career profile: retained while your account is active
- Generated outputs: retained so you can edit, re-export, and reference prior versions
- Logs and security records: retained for a limited period for security and debugging
- Backups: may persist for a limited time even after deletion due to backup cycles
Deleting Your Data
You can request deletion of your account and associated personal information by:
- Using in-app deletion tools (if available), or
- Contacting mike@aesosoftware.com
We will delete or de-identify information subject to legal requirements and legitimate exceptions (for example, records we must keep for tax, accounting, or security purposes).
10. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information (such as encryption in transit, access controls, and monitoring). However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. International Data Transfers
If you access the Service from outside the country where our servers or service providers are located, your information may be transferred and processed in other countries.
Where required (e.g., EEA/UK), we use appropriate safeguards such as:
- Standard contractual clauses, or
- Other lawful transfer mechanisms
12. Your Privacy Choices and Rights
Depending on your location, you may have rights such as:
- Access: request a copy of your personal information
- Correction: correct inaccurate or incomplete information
- Deletion: request deletion of your personal information
- Portability: request an export of information you provided to us
- Objection / Restriction: object to or restrict certain processing
- Withdraw consent: where processing is based on consent (e.g., certain cookies or marketing)
- Appeal: appeal a decision regarding your privacy request (in certain jurisdictions)
To exercise these rights, contact mike@aesosoftware.com. We may verify your identity before fulfilling certain requests.
Marketing Communications
You can opt out of promotional emails at any time by using the "unsubscribe" link in those emails. You may still receive non-promotional messages (e.g., billing, security, or service notices).
13. U.S. State Privacy Disclosures (California and Other States)
This section applies to residents of certain U.S. states where privacy laws provide additional rights (which may include California, Virginia, Colorado, Connecticut, Utah, and others), depending on applicability.

Sale or Sharing
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising unless we explicitly disclose that we do and provide opt-out rights.
Sensitive Personal Information (California)

15. Children's Privacy
The Service is not intended for children, and we do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us personal information, contact mike@aesosoftware.com, and we will take appropriate steps to delete it.
16. Changes to This Privacy Policy
